CVBs face many challenges these days. Those that receive funds from a hospitality tax are working with less money as city budgets are drying up and hotel ADR's (Average Daily Rates) are down. Lower hotel rates mean less taxes collected. Even CVBs that collect funds only from membership dues are working with tighter budgets and smaller staff than before. All of these events conspire to place the CVBs in a position of chasing after only the largest of groups coming into the area, while other groups are virtually ignored. This is where MyEventRFP steps in.
During the design process MyEventRFP received valuable input from people working in the CVB industry. These industry veterans were the first to acknowledge that CVBs need to pay more attention to the "other" unmanaged, and even managed, groups, meetings and events coming into their markets, and now they have a tool to do just that! MyEventRFP allows CVB personnel the ability to track all group, meeting and event leads (big or small), by simply having their customer use the private-label interactive form MyEventRFP provides our CVB partners. This includes weddings, church groups, reunions, sporting events and more - Just the type of groups CVBs have not had the time or resources to pay attention to in the past. Using different administrative levels within the MyEventRFP tool, CVB personnel can track the progress of the RFPs sent out to their member hotels. They can view the original request, the hotel's response, any negotiations that take place, and follow the process all the way through to a proposal made (or not made).
Tracking allows the CVB to see which hotels respond to leads and which do not, an important feature later on when a hotel complains about not receiving enough qualified leads from their CVB. When this happens a CVB can show a hotel exactly the amount of qualified business they referred. MyEventRFP reporting features are very valuable at allowing the CVB the ability to produce reports showing the "true" economic impact their organizations have on a market. Yes, citywide events are huge for CVBs and their hotel partners; however both parties should never underestimate the value of the many other groups that will come through the market over the course of the year. As an added bonus, CVB personnel can also use the MyEventRFP tool for themselves, putting them in the position of being the "meeting planner", and can also use the historical data provided to market their area to these groups for future events.
